Pencairn Guides

Read one month before looking for a trend

A monthly summary is easiest to interpret when its period and inputs are clear. Start with the figures, then note what the indicators include and leave out.

Begin with the reporting month

The Snapshot uses the calendar month you select. Invoiced revenue, payments collected, listed operating costs, and—if you choose Complete—the activity counts should all refer to that same period. The calculations do not reconcile entries or check their source.

Read revenue and costs as separate totals

Invoiced revenue and payments collected are different monthly totals. Listed operating costs are the costs you chose to include. Pencairn shows the collected amount less those listed costs and the share of collected payments remaining after that subtraction. These outputs do not include costs that were left out or accounting adjustments.

A trend needs more than one period

A single Snapshot describes one month and does not compare it with earlier months. To examine revenue, cost, or operating changes over time, compare separate periods using consistent definitions and the source records that are relevant to your business. The Snapshot does not perform that comparison or identify causes.

Complete also reports counts and ratios for leads, quotes, jobs, and customers. They are period totals, not matched groups of the same leads, quotes, jobs, or customers.
